Be sure you can handle the call volume

You are going to need to be able to handle the maximum call volume you would expect during the busiest times. While extra calls will default to the voicemail, you want to call as many patients as you can during office hours. When you manage a busy medical clinic, you know it can be hard for employees to come up with the time to check the messages and return calls. Plus, you don't want to have a crucial call not be answered right away when a patient can have a very important medical need.

Be sure the automation covers everything necessary

You are going to want to have automation setup that helps to direct the phone calls to the right departments. This means each department will need its own dedicated option number. For example, you can have an option for giving hours and address information and this can go to one automation recording, then you may have other options that go to different departments, such as receptionist, records, manager, etc. Having the patients click through the automation selections cuts down on the phone answering that one or two receptionists need to do, which will free them up to care for other important tasks.

Be sure enough faxes are included

A small medical clinic may only need one fax that will take care of incoming and outgoing faxes. However, if you have a very busy clinic, then you may need more than one. By having enough faxes connected, you will be able to receive all incoming faxes and send all necessary outgoing faxes without complications or busy signals that can be frustrating and can cost time for the office staff.
